Job Description
Job Summary:
This position is responsible for supervising a team of Material Specialists and/or Analysts who perform transactional work in support of NGC & VNG major pipeline projects and programs. The team’s primary duties include invoice coding and processing, managing the purchase order process, managing MTR and receipt tracking, and other back-office duties in support of Engineering and Construction capital projects. This position will also trouble shoot data anomalies, provide ad-hoc analysis, serve as a subject matter expert (SME) for process and system migrations, and support special data requests for regulatory & internal audits as well as other key programs. Additionally, this position will support accurate preparation of accruals, ensure timely closeout of capital projects, and to support process documentation and guideline updates.
This role reports to Manager, Project Controls.
Business Execution
- Plan and manage workload to ensure deliverables are completed accurately, on time, and in accordance with established service levels and deadlines
- Execute and review aging invoice monitoring and reporting for Engineering & Construction capital projects
- Support task prioritization and execute high‑priority work as needed to prevent delays in critical items
- Document process standards, procedures, and training materials that translate business needs into repeatable execution
- Review system and workflow performance; document business requirements in support of large‑scale system enhancements
Communication
- Review and communicate monthly performance through a team scorecard summarizing completed and outstanding work, key accomplishments, risks, and issues
- Monitor progress against goals and deliverables and reinforce accountability for quality and timeliness
- Translate standards into transactional execution by documenting use cases, process flows, and standard procedures
- Ensure all transactional processes are documented and consistently followed
Relationships & Collaboration
- Coordinate with Engineering and Construction leaders to support adherence to Project Controls transactional processes and service expectations
- Support the Manager, Project Controls by ensuring transactional deliverables are timely, accurate, and audit‑ready
- Coordinate with Engineering, Program Management, Construction, Accounting, Supply Chain, IT, and other partners to improve processes, systems integration, and transactional support across the project lifecycle
- Review compliance with applicable policies and procedures and escalating issues as needed
Innovation
- Analyze and review systems and processes to identify errors, risks, inefficiencies, and improvement opportunities
- Support continuous improvement initiatives that increase efficiency, scalability, and quality of outputs
- Document functional analysis for system enhancements or new implementations, including gap analysis, design documentation, and use cases
- Monitor implementation outcomes and user adoption to ensure intended benefits are realized
- Serve as a subject‑matter resource by supporting process-, system-, and data‑related improvement efforts
Development of Others
- Supervise a team of Material Specialists and/or Analysts supporting Engineering and Construction capital projects
- Educate and train team members on processes, systems, and execution expectations
- Review team performance and hold individuals accountable for quality, timeliness, and adherence to standards
Direct Reports
- Oversee a variable number of contractors used in support of team deliverables
- May be responsible for internal resources depending on emerging department needs
Qualifications Education, Certifications/Licenses:
Required:
- BA/BS Degree in Business, Finance, Accounting, Engineering, Construction Management, or comparable degree,
OR
- High School Diploma/GED along with 5+ years of experience supervising people and processes
Preferred:
- Project Management Professional (PMP) Certification
Work Related Work Experience:
Required:
- 3+ years of experience (with BA/BS degree) of supervising people and processes, or
- 5+ years of experience (without out degree) supervising people and processes
Preferred:
- Experience in the Engineering and Construction industry, focused on back office or project controls activities, process improvements, business systems, or related activities
- Utility experience

Working Conditions/Physical Requirements:
- Full time position: Work in Naperville, IL office 4 days per week, remote on 5th day
- Office environment with significant portion of time using keyboard/computer screen
- Infrequent travel (0-5%): The incumbent may be required to travel on a limited basis. Trips may require air travel and/or overnight stay away from home for one or more nights.
- Requires ability to work extended hours during critical periods
