Job Summary

The Department of Physical Medicine and Rehabilitation (PM&R) seeks a motivated and enthusiastic Research Administrator Intermediate to work closely and proactively with our faculty and senior staff to provide pre- and post-award administration. The successful candidate will enjoy research, financials, problem-solving, and being part of a team environment. We are a growing department and are looking for someone who wants to be an integral part of our growth. This position will report to the Research Administration Senior Manager.

PM&R's research enterprise currently has 73 active faculty, collaborating with 24 UM (University of Michigan) or Michigan Medicine Departments Schools or Centers. PM&R currently has 9 postdoctoral fellows, 4 graduate students, 56 research staff, a research administration working manager, 4 research administration staff, and 2 administrative support personnel. We have a very diverse research portfolio. Some of our current grants include adaptative sports and gaming, concussion prevention, women?s health for those with disabilities, and adaptative computer interfaces for communication. Total Department research expenditures last fiscal year were over six million dollars and rose 11.4% from the prior year. UM PM&R has a #4 NIH (National Institutes of Health) ranking of PM&R Departments across the country. Major sponsors include NIH (45%), NIDILRR (16%), Craig H Foundation (10%) PCORI (Patient Centered Outcomes Research Institute) (5%), DOD (5%) and various others (19%).

Responsibilities*

  •  Assist with coordinating and compiling proposal documents for successful grant and contract submissions. 
  • Prepare and submit documents for Just-in-Time (JIT) requests. 
  • Maintain faculty Other Support documentation and review Biosketches for accuracy and formatting. 
  • Assist with faculty portfolio reconciliation of sponsored activity to ensure accurate compliance and budget projections. 
  • Manage a select number of faculty portfolios of post-award financial activities. 
  • Update encumbrances and expenditures in accordance with allowable budget expenses per university and sponsor regulations. 
  • Initiate and set up funded projects by requesting subaccounts and creating an Asana project for tracking and grant management purposes.  
  • Assist and complete financial status reports (FSR), Uniform Guidance (UG) reports, award change requests (ACR), and journal entries (JE). 
  • Maintain and provide financial reports to PIs and senior staff as requested. 
  • Prepare and process appointment change requests (PAR), budget allocations, journal entries, and vouchers. 
  • Assist with monitoring personnel effort on sponsored projects in accordance with university and sponsor policies. Work with the department and central offices to resolve financial, HR, and payroll issues. 

Required Qualifications*

  • Bachelor?s degree or equivalent combination of education and work experience
  • Minimum 3 years of research administration experience 
  • Knowledgeable of pre- and post-award research administration policies.
  • Experience with sponsored spending guidelines, Uniform Guidance, and budget restrictions.
  • Knowledge and experience using Microsoft Excel, Microsoft Office, and Adobe.
  • Exceptional organizational, written, and verbal communication skills.
  • Be a highly dependable team player with a positive attitude, seeking to be an integral part of the Department's success.  
  • Ability to work independently or collaboratively as part of a team.
  • Ability to work under pressure, set priorities, and handle multiple tasks with competing deadlines.

Desired Qualifications*

  • Knowledge of policies and procedures, specifically related to sponsored projects and financial systems; familiarity with ORSP, UMOR, FIINOPS, eResearch, Business Objects, and
  • Wolverine Access reporting tools, including HR and Financial tools, faculty appointments, and subcontracts.
  • Familiarity and experience with Federal and other funding agencies such as NIH, NSF, AHRQ, PCORI, foundations, and the use of grants.gov, NSF Fastlane, Research.gov, etc.
  • Knowledge of UMMS and U-M sponsored research policies and procedures.
  • Continuously strive to provide high quality service to all you encounter.
  • Ability to generate and analyze aggregate data related to financial activity.
  • Proactively anticipate work requirements based on prior requests and instructions. 

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
