What You'll Do

As IOE's Event Planning Coordinator, you will work closely with several groups in the department, such as Alumni Engagement, Student Services, Administration, etc., to manage the logistics for departmental events. This will include securing venues and caterers, managing the event budget, promoting the event, and any other tasks necessary for a successful event. You'll report functionally to the Alumni Engagement Specialist and administratively to the Department Administrator.

  • Manage the logistics for IOE departmental events (both in-person and virtual), including seminars, receptions, meetings, community events, department retreats, and other events.
  • Create and manage travel and itineraries related to events.
  • Track event budgets, process invoices, and ensure all vendor payments and reconciliations are accurately handled.
  • Work with IOE's communications team to promote events to the appropriate audiences.
  • Work with appropriate department, College and University partners in completing forms and contracts related to events.
  • Other related duties as assigned.

Skills You Have

  • Associate's degree plus at least two years of experience in event planning or clerical work or an equivalent amount of education and experience.
  • Ability to effectively communicate with diverse groups, including faculty, staff, students, alumni, and external vendors.
  • Strong attention to logistical details and accuracy, with the ability to handle multiple priorities simultaneously.
  • Excellent organizational and time management skills, with the ability to coordinate multiple events and initiatives simultaneously within given timelines and budgets.
  • Ability to travel and work evenings and weekends as necessary for events and activities.
  • Self-motivated, innovative problem-solver.
  • Commitment to creating a positive, inclusive workplace.

Work Schedule

The College of Engineering's telecommuting policy provides options available to enhance our community and staff well-being. This role is classified as HYBRID which means, on average, three (3) days of in-person work and two (2) days of remote work per week. This agreement will be reviewed and evaluated annually. Telecommuting is not an employment right, and any telecommuting arrangement may be changed or terminated at any time, and for any reason, by the department.

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.
