A Brief Overview
The Director of Special Events plans and executes events at the venue such as private events, family shows, press conferences, fundraisers, ceremonies and galas as well as develop and manage new business for the venue. This role is responsible for the planning, budgeting, and implementation of events, and ensures the overall sales process runs seamlessly. The Director of Special Events is in constant contact with clients, and communicate with vendors to ensure an effective event. This role is also a liaison between the sales department, the client, the operations, production and box office department, and will be responsible for event staff management, invoice processing, contract execution, and insurance document procurement.
What you will do
- Manage and serve as the primary contact for all special events and maintains continuous communication with clients to make sure all event preparations are made and executed for implementation of all special events.
- Manage all event logistics including creating event checklists, employee event schedules and all event programming including timing, staging, and master schedule for all events. Coordinate with internal departments and staff regarding all Special Event needs.
- Oversee entire contract and payment process. Ensures all contracts meet AEG legal standards and are executed properly. Manages invoice and fulfillment process with the client. Manage and maintain event binders and files. Assist in ensuring that event settlements are closed promptly and accurately.
- Plan, run, and organize all (internal and external) rental meetings. Compile and communicate all event requirements to various departments at the venue. Direct and delegate necessary responsibilities within the venue’s departments.
- Execute necessary sales responsibilities to bring new clients to the venue (includes answering rental inquiries, creating proposals, executing walk troughs and providing estimates). Maintain database of potential targets for Special Events and participates in solicitation efforts. May conduct assigned market research as directed by the General Manager and Manager Sales.
- Responsible for being an active member of the event community by attending industry events. Participate in association meetings for event planners and similar organizations. Attend meetings, network, and collect data to secure potential new clients.
- Ensure that all clients operate in the facility within company and venue safety and security parameters.
- Anticipate production, logistical, and operational obstacles and develop appropriate solutions and procedures.
- Work with the Operations Manager to hire, train, and manage event staff and vendors.
Education Qualifications
- BA/BS Degree (4-year)
Experience Qualifications
- 2-4 years Of related work experience in event management
- Experience in hospitality and food service industries
Skills and Abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook); and ability to learn required business systems
- Knowledge of legal and risk issues surrounding food service, contract fulfillment and leases
- Exceptional management and problem-solving skills
- Exceptional Customer Service skills to interface with artists, management, tenants and other high-profile persons
- Highly organized and flexible.
- Able to work under pressure calmly
- Budgeting and inventory experience
- Ability to handle cash and checks, figure sums and provide expense reports
