About the Role:The Administrative team within the Operation and Maintenance (O&M) section of King County's Wastewater Treatment Division (WTD) provides essential support services that enhance the efficiency, safety, and effectiveness of the section's operations. This team manages a wide range of administrative functions, including timekeeping, procurement, contract management, data tracking, documentation, and compliance reporting. By streamlining administrative processes and ensuring smooth operational logistics, the administrative staff plays a pivotal role in enabling technical teams to focus on maintaining and improving the wastewater infrastructure.
This role serves as the first point of contact for the treatment plants, providing a welcoming and professional presence for visitors, clients, and employees. The role involves managing front-desk operations, answering and directing calls, handling inquiries, and ensuring smooth communication within the organization. What You Will Be Doing:
- Serve as main receptionist - act as first point of contact for the treatment plant; screen and greet visitors warmly, make sure they are comfortable and direct them as appropriate; answer phones and route calls appropriately; take and relay messages; sort, distribute, and prioritize mail; accept and distribute deliveries: update and manage conference room calendars; and ensure the reception area and conference rooms are kept clean and organized.
- Under general supervision, provide direct customer service and administrative support to external and internal customers/clients of the Wastewater Treatment Division.
- Manage Pcard purchasing, invoice approvals, and documentation. Assist in maintaining office supply areas, purchase supplies and equipment, and ensure supplies are stocked. Maintain supplies for the kitchens.
- Provide administrative support to the Operations Manager and Wastewater Treatment Plant Manager - request and/or make updates to the online directory and internal email lists; prepare meeting packets; support space needs, planning, and surplus; manage copy area, fill copy machine, manage toner supplies, and request service as needed.
- Compose, draft, proofread and/or edit documents to ensure conformance with King County and WTD policies and procedures.
- Communicate effectively with customers - provide accurate information about WTD, identify services needed and direct customers to the correct person or office as appropriate. Maintain professionalism at all times and in all communications. Maintain confidentiality of information (sensitive correspondence, documents, and situations).
- Manage time away from the Front Desk. Initiate requests for back-up coverage when needed.
- Perform other duties as assigned.
Experience, Qualifications, Knowledge, Skills
Qualifications You Bring:- Two (2) years of experience involving customer contact; greeting and assisting customers in person; Friendly, positive attitude, willing to continually greet people with a smile.
- At least two (2) years full-time office experience; Demonstrated knowledge of office practices, procedures and functions.
- Excellent customer service skills including communicating with people of diverse backgrounds and skill in dealing with difficult people. Demonstrated ability to work with diverse group of individuals in a tactful, diplomatic, patient and professional manner.
- Excellent oral and written communications skills, including skill in proofing documents with special attention to vocabulary, punctuation, grammar, formatting, spelling, composition, proofreading.
- Ability to use office machines such as copiers, scanners, label makers, projectors, calculators, etc. Keyboarding proficiency and accuracy.
- Valid Washington State Driver's License or alternate ability to get to work sites.
- Proficient in the use of personal computers; with experience using MS Word, Excel, SharePoint, and Outlook.

Working Conditions:
- Onsite Work Details: Employees in this role work onsite. Onsite reporting location will be at one of our treatment sites: South Treatment Plant located at 1200 Monster Road S W, Renton, WA 98057, Brightwater Treatment Plant located at 22505 State Route 9 SE, Woodinville, WA 98072 or West Point Treatment Plant located at 1400 Discovery Park Blvd, Seattle, WA 98199 and may also be at various King County worksites including the collaboration space at King Street Center (201 S. Jackson St, Seattle, WA 98104). This work arrangement promotes work-life-balance and reduces carbon footprint under the department's vision of Green Where We Work.
- Requirement: Employees must reside in Washington State and be within a reasonable distance to King County worksites to meet onsite reporting requirements.
- Work Schedule: This position is non-exempt from the overtime provision of the Fair Labor Standard Act (FLSA) and is overtime eligible.
Union Representation: Teamsters Local 117 Professional & Technical and Administrative Support collective bargaining agreement. Pursuant to Article 14.4 Western Conference of Teamster Pension Trust, $1.00 per hour from the base wage will be submitted to the Western Conference of Teamsters Pension Trust Fund.
Duration: This recruitment aims to fill 3 Term-Limited Temporary (TLT) positions with an anticipated duration of up to 2 years. If the position is filled by a King County employee who has successfully completed their initial probation, they will be offered the role as a Special Duty Assignment.
Physical Recruitment: Ability to lift and carry 25 pounds for short distances.
