Job Summary
Provides general administrative support to the Indo-Pacific Department, Division, and branch employees.
Travel is not required.
Responsibilities and Duties
Completes a Monthly Contractor’s Progress, Status, and Management Report (CDRL A001). Maintains specified websites. Processes and distributes awards and maintains their respective databases. Supports teams with special projects. Creates and ensures various documentation and files are current and up to date. Takes meeting notes and distributes notes to the proper personnel. Performs data entry into various data systems and management information systems to update and maintain current status. Retrieves status reports from databases. Performs material or property verification, maintains a material or property inventory database, and provides computer print-outs of inventory. Performs document/literature searches, interviews various sources for technical information, and prepares report findings. Performs presentations of program data, status reports, and technical information for transmittal to program sponsors. Performs editing, proofing, general organizing, and collating of technical documents. Reproduces copies of original documents as needed/required. Submits monthly/quarterly meter readings to the vendor for all copier machines, contacts the service department to repair appliances, and maintains supplies. Coordinates repair/service requests for building shredders. Checks and fills shredder oil as needed. Coordinates with Facilities personnel for the emptying and destruction of shred bin contents. Performs staff writing support by writing and editing correspondence and documents. Provides command visit support by performing preparation, execution, and post-event tasking to support visitors and command events. Performs administrative duties such as answering telephones, scheduling appointments/meetings, making room and parking reservations, and managing the command equipment inventory. Performs ERP Timekeeper role. Ensure that Government employees have entered ERP Time, alert employees to missing entries, and identify and correct erroneous entries. Creates and submits Request for Personnel Action (RPA) packages supporting Government hiring actions. Performs and supports new Government employee onboarding. Drafts, reviews, and routes for approval Memorandums of Understanding (MOU) and Memorandum of Agreement (MOA). Distribute approved documents as required. Drafts, reviews, and routes for approval of official Naval Message Traffic. Sends, receives, and processes visit requests through the Defense Information System for Security (DISS). Manages the usage scheduling, monitors fuel level, and maintains official vehicles. Provides vehicle mileage data to the vehicle coordinator as required. Completes all required Mail Orderly training and is designated as a Mail Orderly. Processes all incoming and outgoing official mail delivered by USPS on normal workdays. Sorts and places mail in the designated mailbox. Maintains inventory and creates a list of needed office supplies. Obtained quotes, completed requests, and picked up and distributed office supply materials. Maintains and updates Organizational Charts, Space Seating Plans, and cubicle/office signs. Provides cross-divisional and department support as needed.
Qualifications and Skills
Required knowledge and years of experience
Must have at least three (3) years of experience providing administrative support in a DOD environment. Must have at least three (3) years of experience processing employee awards and maintaining their databases. Must have at least three (3) years of experience providing staff writing support. Must have at least three (3) years of experience drafting and distributing meeting/conference notes. Must have at least three (3) years of experience creating presentations of program data and status reports. Must have at least one (1) year of experience in a Navy Enterprise Resource Planning (ERP) timekeeper role. Must have at least one (1) year of experience creating and routing hiring packages and personnel action requests. Must have at least one (1) year of experience with the operation of DISS (Defense Information System for Security) (formerly JPAS).
